  • The number of approval levels should match the risk. A simple annual leave request may only need one manager, while a salary-related change or high-cost claim may need HR or finance review.
  • Notifications should be timely but not noisy. Managers need reminders for pending requests, but constant alerts can cause fatigue. A daily digest or clear task list often works better than scattered messages.
  • Finally, HR should measure the workflow. Track pending requests, average approval time, rejected requests, and bottlenecks by department.
