Keep employee records complete

Start with employee records. Each employee should have a complete profile, signed contract or agreement, job information, emergency contact, identification documents where appropriate, and clear employment status. Missing records become painful during audits or disputes.

Record time, leave, and approvals consistently

  • Next, review time and attendance. Working hours, overtime, leave balances, and absences should be recorded consistently.
  • Policies should also be accessible. Employees need to know where to find rules about leave, attendance, remote work, expenses, data privacy, and conduct. A policy nobody can find is not very useful.
  • Approval trails matter. Leave, claims, changes to employee information, and salary-related updates should show who approved them and when. This protects both the company and the employee.

Run a quarterly compliance cleanup

Finally, schedule a quarterly cleanup. Check incomplete records, outdated reporting lines, terminated employee access, and documents that need renewal. Small, regular compliance habits are easier than emergency cleanup.
